Requisition Number 17-0415Title POG SpecialistPost Date 8/7/2017City TampaState FLWork Hours Hours VaryDescriptionPurpose of the PositionUnder the supervision of the Manager or Sr. Manager, the Registrar Coordinator is responsible for the collection of high school, collegiate, and military transcripts for students enrolling into Ultimate Medical Academy from other institutions, domestic and/orforeign. Will be responsible for collecting, auditing and filing student records of both new and continuing UMA students. This individual will ensure that all documents are compliant with institution and federal regulations. Coordinator is responsible formaintaining quality of internally processed documents; and assisting with internal and external audits. Assists in the overall operations of the registrara€ (TM) s office, including but not limited to, the creation and maintenance of student registration processes,schedules, graduation processes and related matters. This individual will ensure that all documents are compliant with institution and federal regulations. This individual will also uphold the Family Educational Rights and Privacy Act (FERPA), Federal FinancialAid guidelines (Title IV) and other applicable laws.Primary Duties and ResponsibilitiesProvide tactical support to the Registrara€ (TM) s Office for day-to-day academic operations and activitiesDetermines if transcripts from studenta€ (TM) s previous high school and post-secondary institution are valid and accreditedResponds to calls and resolves student and department inquiries related to transcript collection and evaluationsServes as a liaison for all high school, college and military transcript related activities to internal and external stakeholdersResponsible for documenting receipt of all transcripts in the Campus Management System in accordance with compliance regulationsAssists in resolving student issues and requests from other departments as received through the HEAT ticketing systemAudits documents related, but not limited to, student status changes to ensure that appropriate documentation is complete and compliant prior to processingProvides processing and information support to the Learner Services, Student Finance and other student facing departmentsResponsible for scanning and linking student records into the student information system via ImageNow and ensuring that all digital student records are compliantAssists with internal and external auditsResponds to calls and resolves student and department inquiries related to transcript collection and evaluationsDemonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.Performs other duties as requestedRequirementsEducation/ExperienceCompletion of post-secondary education, Associate degree (preferred)Demonstrable experience in working with academic or financial records (preferred)Demonstrable experience audits (preferred)Strong communication skills; oral, written, computer and interpersonal skills required (preferred)A positive approach to all subject matter and a willingness-to-learn attitude required (preferred)Associated Knowledge, Skills, Abilities and Other CharacteristicsFlexibility to work evenings and weekends as neededMay be required to work overtime on certain occasionsAbility to handle confidential student records due to high level of exposure to student personal dataAbility to work well and professionally with others and within teamsFlexibility to work evenings and weekends as neededAbility to achieve results without explicit daily guidance is expected.
