Job Description:Amgen is seeking a Project Management Coordinator (PRC). The Coordinator will work out of Amgen's Capability Center in Tampa, FL. At Amgen, our mission is simple: to serve patients. The Project Management Coordinator will perform a variety of complex administrative support activities for Next Generation Workplace (NGW) occupants. Additionally, the incumbent will serve as receptionist and space representative providing information about and directions to collaboration spaces, neighborhoods, and amenities, thus creating a positive client experience. The PRC model supports the NGW program by providing a single point-of-contact for the building floor, centralized supplies, triage of issues, NGW on-boarding, and communication of impacts to staff. The BRC Coordinator will also support basic administrative duties for staff from diverse corporate functions and across all organizational levels in the Amgen Capability Center. Key Activities for the Coordinator include: Serves as space representative providing information about and directions to collaboration spaces, neighborhoods, and amenities Issues and manages day-use lockers, office supplies, locker caddies, laptop stands, and orders office supplies Distributes mail to neighborhoods on floor and assists in logging work orders for break / fix items, etc. Assists in printing needs and printer maintenance Manages the administrative aspects of relationships with outside experts and vendors and maintains distribution, contact and personnel lists Manages departmental administrative files and opens purchase orders requisitions Makes travel arrangements, prepares expense reports, and assists with preparation of presentations and meeting agendas Organizes meeting rooms, including logistics, catering and equipment needs, manages calendars and scheduling meetings, and manages Leadership and Staff Meetings Assisting staff/teams with furniture set-up and orientate staff on NGW space management Assists with special projects as approved by management and participates in department project teams Identifies and intercepts, when appropriate, unusual occurrences to assist in monitoring security and safety of the work place Basic Qualifications: Associate's degree and 2 years of Administrative and/or Receptionist experience OR 2 years in a technical school setting with hands-on experience OR High school diploma / GED and 4 years of Administrative and/or Receptionist experience Preferred Qualifications: 3+ years' experience in an administrative support role supporting large teams at different levels Bachelor's degree Helpful, optimistic attitude with a solution-oriented approach Strong interpersonal skills and track record in customer service Discretion in dealing with proprietary information and advanced knowledge of MS Excel, PowerPoint, and Word (ie word processing, presentations, and spreadsheet skills) as well as Concur, Efinity and/or SAP Experienced and proficient with standard technologies and platforms such as Skype, Office365, SharePoint Online, OneNote, Concur, etc. Excellent written, verbal and presentation skills in communicating key business information Ability to manage multiple people, and calendars, at once while having excellent travel and meeting planning skills Ability to work in a fast-paced, deadline-driven environment and experience working at large regional center, corporate headquarters, or capability center Excellent organizational and time-management skills and ability to prioritize, manage multiple tasks, and track/report status of assignments and activities Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners Amgen is committed to unlocking the potential of biology for patients suffering from serious illnesses by discovering, developing, manufacturing and delivering innovative human therapeutics.
