JOB DUTIES AND RESPONSIBILITIES

:
Assist with preparation of contractual proposals and amendments
:
Assist with monitoring the contract routing process to ensure timely execution
:
Assist in ensuring budgets are in place and in compliance with agency guidelines
:
Monitor FWRIs compliance with FWC requirements
:
Submit invoice and reporting requirements in a timely manner and ensure payment is made
:
Assist staff with tracking reports due and contract expiration date
:
Assist with maintaining FWRI contract list
:
Ensure proper paperwork is submitted to close out files
:
Answer Contracts Office phones
:
Serve as the back:up for the Contracts Office, as needed

Minimum Qualifications:
Three years of secretarial or clerical work experience. College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience; or vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience; or a high school diploma or its equivalent can substitute for one year of the required work experience.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of: generally accepted administrative and standard office principles, procedures and practices and basic bookkeeping practices.

Skill in: performing basic mathematical calculations; oral and written communications; use of a personal computer; spreadsheet and word processing software; planning and organizing work; and demonstrated excellent customer service.

Ability to: collect data and prepare reports; understand and solve complex problems; interpret and apply rules, policies and procedures; utilize problem solving techniques; show initiative and follow:through; work accurately with details; establish and maintain effective professional relationships; enter, gather and summarize data and prepare written reports; communicate effectively verbally and in writing; work independently; and in multi:tasking.

WHAT IS OPS EMPLOYMENT? Other Personal Services (OPS) employment is a temporary employer/employee relationship used solely for accomplishing short term or intermittent tasks. OPS employees do not fill established positions and may not be assigned the duties of any vacant authorized position. OPS employees are at:will employees and are subject to actions such as pay changes, changes to work assignment, and terminations at the pleasure of the agency head or designee.
