Job DescriptionOur client is looking for a Part-Time Office Assistant to support the leadership team, manage the office needs and reconcile expenses. Duties:Maintain organization chart (make changes accordingly)Create and distribute the Labor Analytics Maintenance Revenue ReportMaintain Customer Satisfaction (CSAT) Trends for the Labor Analytics Support TeamTrack a list of expenses incurred by month to ensure expenses are reconciled properly in the MasterCard toolPay invoices and renew maintenance contracts, as neededMaintain and audit the badge report monthly and ensure access is removed for any employees that should not have access and granted to those that should have accessCheck office admin voicemails and Outlook e-mails throughout the dayMaintain phone list including cell phone numbersTake all mail to mail boxes for USPS or schedule pick up from FedEx/UPSDeliver all incoming mail and packagesHandle all outgoing mail including shipments via UPS/FedExMaintain all receipts for purchases for office equipment, supplies etcGenerate PO's for required services/purchasesUpdate the office calendar and accept/deny requests when conflicts ariseRequest badges for new hires and ensure replacement badges are ordered as neededRequest temporary access for employees that are not assigned to the Tampa office but are using the facility for meetings or brief staysOrder lunches and make dinner reservations, when requestedSend e-mails to Tampa based employees communicating office events and activities or notificationsAct as the office liaison to the building leasing office including sending notifications, communications about events/activities and submit work orders to them. Additionally, report status of work orders to managementPrepare, organize and maintain the appearance of the office for guest and employeesRe-fill snacks and suppliesEnsure fax, copy and printing machines have toner and paperEnsure snacks are replenishedEnsure conference room is equipped with everything needed (projector, pens, dry erase markers etc)Order office supplies as needed and requested by the team with approvals through managementClean refrigerator, microwave and toaster oven Requirements:Prior experience supporting leadership with administrative needsProficiency in MS word, excel, power point, and outlookExperience with Adobe ReaderAbility to interface with all levels of the organizationAbility to maintain confidentialityExcellent communication skillsMust have experience working independently and with little to no supervisionAbility to dependably work M-F.
