Pediatric Health Care Alliance is looking for an experienced Administrative Assistant to join our marketing team at our administrative office in Oldsmar, FL. This position is responsible for performing a variety of administrative and clerical duties at our corporate office to support internal and external marketing, as well as general office support duties. Essential Functions: Duplication and assembly of materials for marketing programs. Processing confidential patient mailings, including mailing lists and mail merge projects. Sourcing vendors and coordinating orders for various print and production needs. Proofreading and proof approval for internal and external print collateral. Manage inventory of marketing and education supplies. Reception desk duties (covering breaks and vacations), including answering phones, directing callers within the organization, and greeting office visitors. Supporting PHCA physician committees, including print materials, resources, and administrative support. Maintain and update database of local pediatric specialists Coordinating internal and external marketing mailings. Administrative support of all marketing department activities. Other duties as needed, including interdepartmental and special projects. Hours: Candidates must be available to work a flexible full-time schedule, Monday - Friday between the hours of 8 AM - 5 PM. Occasional evenings and weekends may be required to support meetings and events. At least 3 years experience in a professional business office setting Advanced skills in all Microsoft Office programs, including Word, Excel, PowerPoint, and Access Typing and organizing skills, as well as knowledge of office management practices. Excellent verbal and written communication skills, including proofreading, and customer service skills. Experience working and communicating with all levels of an organization, including company owners and executives. Self-starter, can be depended on to stay on task and complete work with minimal supervision. Ability to manage and prioritize work in multitasking environment Previous marketing experience Ability to lift up to 50 pounds. Preferred: Previous health care experience, or experience in an industry with protected or confidential information.
