Job Description
Our Administrative Coordinator will need to be a dependable, responsible addition to our leadership team and be able to work in a fast paced environment while maintaining the integrity of our mission. This individual will display initiative while taking responsibility to coordinate our administration department, with the goal of a well organized, compassionate, and efficient administration.
Qualifications of this position include professional interpersonal skills. As you are working in an environment where clients are in crisis and vulnerable, we are responsible to show the love of God through kind, compassionate, treatment, always protecting their dignity. You will spend a large portion of your time accessing the tools of the computer so it is important to possess proficient computer and internet skills.
Work in tandem with all departments.
Uphold the standards recorded in the Employee Handbook.
Submit to fingerprinting and background checks as required.
Mastery of office software including Word, Excel, Outlook, Access, PowerPoint and Publisher. Proficiency on the internet including some web design or web master skills.
Help design, promote, and preserve Standard Operating Procedures for the Mission.
Manage expense control and purchasing of supplies.
Human Resources management : assist with hiring procedures, maintain employee files and accurate and current job descriptions for all positions.
Oversee and assist with facilities and asset management.
Act as vendor relations and contracting liaison.
Oversee loss prevention, security, and insurance needs.
Coordinate and maintain:
:All interoffice communications : includes management and creation of announcements, memos, change of plans, posters, signs, brochures, event information, etc.
:Phone system : includes answering all phone lines, checking voice mail, and taking messages in duplicate and assuring that messages are delivered in a timely fashion to the location of choice.
:Front desk and lobby area : We are always to receive guests like they are in our home. Triage when appropriate and show guests to the appropriate place or person in a professional and timely manner. Trained personnel must always be at this post during hours of operation. Even if you have a replacement, the directors need to know of your whereabouts at all times. Customer service must always be provided with professionalism and speed, ensure proper completion of necessary paperwork including: donation receipts and volunteer sign:in and sign:outs.
:Incoming and Outgoing Mail : sort, open, and distribute all mail. Prepare outgoing mail.
Maintain newsletter and Constant Contact mailing lists and direct distribution of both (quarterly for the Newsletter and monthly for Constant Contact).
Maintain/update the GSM websites.
Display initiative in coordinating various aspects of GSM. Maintain an approved method of efficient record management.
Attend weekly Staff Meetings and any other essential meetings.
File, fax, copy, and/or email all documents and information necessary to record: keeping.
In the absence of an Adult Education Program Coordinator:
:Coordinate, execute and maintain relationships with class instructors.
:Assist with class planning, scheduling and distribution of schedules.
:Maintain student rosters, sign:in sheets, and attendance records.
:Maintain student and financial records of the Scholarship Program and distribute checks to schools annually or semi:annually as required.
In the absence of a Volunteer Coordinator:
:Coordinate, execute and maintain relationships with volunteers.
:Maintain volunteer records and submit reports as required (hours volunteered, names, addresses, etc.).
:Process background checks on new volunteers.
:Initiate correspondence such as invitations, thank you notes, and other greetings.
:Assist with volunteer training and appreciation events.
